2015年2月28日,杭州市物资总公司业务员刘毅通过来访的美国贸易代表团得知EL

Mar Trading Company的信息。该公司经过市场调研,发现中国的化工原料、轻工产品在美国市场上拥有较好的声誉,于是决定拓展在美国的业务。经了解,美国的EL Mar Trading

Company是一家具有良好声誉的经销商,实力较为雄厚。为了拓展美国客户,刘毅根据下面本公司简介内容向其发出一封建立业务关系的函件。

杭州市物资总公司简介

杭州市物资总公司位于杭州西子湖畔繁华商业区的中心,是经国家批准具有进出口经营权的综合性贸易公司。总公司及所属的15家专业公司(总厂)主要经营金属材料、机电设备、木材制品、燃料、建筑材料、工业化学品、化工原料、轻工产品、废旧金属等各类工业品生产资料以及日用百货、五金等民用商品。共有职工5100人,拥有资本金2.56亿元,拥有固定资产1.46亿元,实有仓库面积达47.6万平方米,拥有铁路专线7条、水陆起卸码头4座、各类吊装运输车辆及设备400多台,年物资进销额4亿元,年工业总产值

任务分析

(一)明确沟通任务的要求

了解寻找潜在客户和主动与客户沟通的技巧,并能撰写英文函件,与客户进行建立业务的沟通。

(二)分析函件要点

建立业务关系的函件一般包括如下内容:

l.说明受函人基本信息的获取来源(source of information)。说明受函人的信息来源,

一方面表示对其重视,另一方面也避免对方觉得唐突。

本例中:

Through your trade delegation that recently paid a visit to our country,we learned that youare dealing in metallic material,electromechanical devices which coincide with our business line.

2.说明去函的目的(aim㎡of writing)。去函人应直接表达该函件的目的。一般说来,出口商通常是以扩大交易地区及对象、建立长期业务关系、拓宽产品销路为目的;进口商通常是为了拓宽进货渠道。本例中:

We are writing with a view to establishing business relations with you.

3.介绍自己的公司和产品(Introduction of one's own company and products)。为便于对方了解,应对本公司的性质、规模、经营范围、公司业绩、经营理念、相对优势进行介绍,以调动受信人的潜在购买或推销欲望。也可附上目录、报价单或另寄样品供对方参考。本例中:

4.激励性结尾(good-will ending)。通常为希望对方给予回应或劝服对方立即采取行动的简短语句以激励对方对推销的商品感兴趣,愿意与去函人展开实质性磋商。
