1.1 Introduction

Business Letter Writing requires to meet the needs of the workplace for the purpose of aform of language,deals with all aspects of business activities,business English and Englishmanner,which is suitable for highly specialized industries,such as English,legal English,medical English.But what these professional English have in common is that all have BasicEnglish Language.Characteristics of business English mainly lie in their teaching specialization,orality and targeted readers.Ultimately,relevance is the biggest characteristic of business

English.This are not in English training courses.Appropriately,the corresponding course hasfairly high requirements for the training institutions.

Business Letter Writing is not simply to raise participants'level of English ability,but tomake students know more about western management ideas,or even how to deal withforeigners,ways and means of how to work with them,and their habits of life,in a manner thatwas included in the concept of culture.Business Letter Writing is that we establish commercialrelations and an important means of foreign trade transactions.Business relations include theestablishment of customer business,request,offer,counter -offer,ordering,receiving,signing,packaging,shipping,payment,settlement,insurance,inspection,claims and the

form of arbitration in a number of special trade and economic and technological cooperation.

1.2 The Principles of Business Letter Writing

1.2.1 Clearness

First of all,make sure that your letter is so clear that cannot be misunderstood.A point isthat ambiguousness in a letter will cause trouble to both sides,and further exchange of lettersfor explanation will become inevitable,thus time will be lost.Next,when you are sure aboutwhat you want to say,say it in plain,simple words.To avoid ambiguity,it is essential to makesure that your letter is as clear and simple as possible.

1.2.2 Conciseness

Clearness and conciseness often go hand-in-hand and the elimination of wordy businessjargon can help to make a letter clearer and at the same time more concise.A letter can bemade clearer,easier and more attractive to read by careful paragraphing.A paragraph for eachpoint is a good rule.A business letter is usually shorter and more specific than a social letter.

Many business letters do not have to go out of their ways to be interesting.This is true thatletters sometimes only need to place orders,answer inquiries,arrange for meetings and thelike.But the letter which is written to persuade someone to do something is another story.

(1)Jargon.

Jargon may be classified into two kinds,one is the language difficult to understand;theother is the language full of technical or special words such as CIF cost,insurance andfreight),FOB (free on board),TPND (theft,pilferage non-delivery),WPA (withparticular average)and straight B/L straight bill of lading).True jargon is to be usedwhenever necessary because it helps to make the meaning clear and easy to understand.Byusing true jargon,we do not have to write a long line to explain the meaning of CIF,a straight

B/L.

(2)Commercialese.

Avoid "dead"expression.Business letters used to be studded with stiff phrases,which,it seems,were intended to give business a sort of dignity.But now that business has come intoits own,these expressions are simply old-fashioned.We can be perfectly courteous withoutthem,and we can be a great deal clearer and simpler,too.In fact,such expressions soundeither affected or clumsy.

1.2.3 Correctness

The rights,obligations,the seller and what is at stake,enterprise image are closely relatedto Business Letter Writing,which are the basis for the production of business documents,aswell as important credential with which they conduct.Accuracy is the most important point to

business English letter writing principles.Principles not only define meaning of the words,punctuation and correct spelling,syntax,structure formed,should also ensure that involvedinformation,letters,numbers,facts are accurate.Therefore,business English letter writingshould be repeated in audit -related information,such as title,name and address of therecipient,the delivery time,location,quality,color,size,packaging,etc.

1.2.4 Courtesy

It should hardly be necessary to stress the importance of courtesy in your correspondence.

One of the most important things is promptness.Punctuality will please your customer whodislikes waiting for days before he gets a reply to his letter.

In order to establish and maintain a friendly trade relation,you should follow theprinciples of business English correspondence manners in general,and treat people withreasons.Politeness principle embodied in the use of words such as please,thanks Not onlyabove,but also the lines reflected in China's foreign trade policies and diplomaticetiquette-dignified,decent and generous.Politeness principles include specific aspects:compliance with international business practices;respect each other's customs and traditions;language expression to kind of measured,avoid using the command tone;use a friendly,positive tone and euphemistic tone to point out other's unsatisfactory places as much aspossible,replies in a timely manner.

It should be the aim of every business office to answer all its mail the same day it isreceived.If for any good reason this is not possible,acknowledgement of the receipt of allletters should be made by the following day or so.

Sometimes letters cannot be answered right away.In that case,they should beacknowledged promptly,with an explanation for the delay.This often happens wheninformation has been asked for and cannot be immediately answered or when the person towhom the letter is addressed is away from the office.

Differences are bound to occur in business,but with diplomacy and tact they can beovercome and settled without ill will on either side.

Here are fragments of a suitable letter:

DThis is to acknowledge the samples which you sent to Mr.Foreman.Unfortunately,hehas been called away from the office for a week.He will get in touch with you the moment hegets back.

1.2.5 Consideration

Consideration refers to the interests of the other party,stand in each other's position to

considerate thoughtfully and carefully,in order to get the other side's goodwill and reach theexpected goal.Principle of consideration is a skill used in business contacts,in order tofacilitate exchanges.

1.2.6 Completeness

A complete business letter should answers to the questions which is raised by be on eachother and to communicate important information clearly.Integrity helps establish good corporateimage.save time on business dealings of both side to achieve the desired results,avoidimportant information asymmetry that may cause unnecessary disputes.

1.3 Preparation before Writing

As a writer,you should make preparation for your creative works before taking up thepen.Generally speaking,the following should be borne in mind.

1.3.1 Studying your reader's interest

It means that you should think of what your reader thinks.

To achieve this,you should "put yourself in your reader's shoes"and try to imagine howhe will feel about what you write.Ask yourself constantly,"what are his needs,his wishes,his interests,his problems to be solved,an how can I meet his requirements."

1.3.2 Planning what you will write and writing effectively

In order to plan what you write better and to write effectively,you should draft an outlinebefore writing.Every language has its own features.For Chinese students,English is a foreignlanguage.They had better learn to think and write directly in English and draft an Englishoutline before writing.

1.3.3 Deciding to adopt the proper layout,tone and style
