In this unit you will learn:

How to choose the correct format of business letter writing.How to understand the concept ofbusiness letter writing,realizing the important role of business letter writing.You will learn in severalformats to English letters and the specific requirements for each format.

1.1 Introduction

Business letter writing requires to meet the needs of the workplace for the purpose of a formof language,dealing with all aspects of business activities,business English and English manner,it is suitable for highly specialized industries,such as academic English,legal English,medical

English.But these professionals have basic English language in common.Characteristics ofbusiness English depend mainly on their teaching specialization,oral and more targeted.

Ultimately,relevance is the biggest characteristics of business English.This is not in Englishtraining courses.Appropriately,the corresponding course has fairly high requirements for thetraining institutions.

Business letter writing is not simply to raise participants'level of English ability,which is tomake students a more Western management ideas,work,or even how to deal with foreigners,waysand means of how to work with them,and their habits of life,a manner that is included in the conceptof culture.Business letter writing is an important way to establish commercial relations and toimprove the foreign trade transactions.Business relations include the establishment of customerbusiness,request,offer,counter-offer,ordering,receiving,signing,packaging,shipping,payment,settlement,insurance,inspection,claims agents and the form of arbitration,even a number of specialtrade and economic and technological cooperation.

1.2 The Principles of Business Letter Writing

1.2.1 Clearness

First of all,make sure that your letter is so clear that it cannot be misunderstood.A point that isambiguous in a letter will cause trouble to both sides,and further exchange of letters for explanationwill become inevitable,thus time will be lost.Next,when you are sure about what you want to say,say it in plain,simple words.To avoid ambiguity,it is essential to make sure that your letter is soclear that it cannot be misunderstood.

1.2.2 Conciseness

Clearness and conciseness often go hand-in-hand.The elimination of wordy business jargon canhelp to make a letter clearer and at the same time more concise.A letter can be made clearer,easier toread and more attractive to look at by careful paragraphing.A paragraph for each point is a good rule.

A business letter is usually shorter and more specific than a social letter.Many business letters do nothave to go out of their ways to be interesting.This is true for letters that place orders,answer inquiries,arrange for meetings and the like.But the letter which is written to persuade someone to dosomething is another story.

(1 Jargon.Jargon may be classified into two kinds:one is the language difficult to understand;the other is the language full of technical or special words such as CIF(Cost,Insurance and Freight),FOB (Free on Board),TPND (Theft,Pilferage and Non-Delivery),WPA (With Particular Average )and

Straight B/L(Straight Bill of Lading).True jargon-is to be used whenever necessary because it helps tomake the meaning clear and easy to understand.By using true jargon,we do not have to write a longline to explain the meaning of CIF,a Straight B/L,etc.

(2)Commercialese.Avoid "dead"expression.Business letters used to be studded with stiffphrases,which,it seemed,were intended to give business a sort of dignity.But now business hascome into its own style,these expressions are simply old-fashioned.We can be perfectly courteouswithout them,and we can be a great deal clearer and simpler,too.In fact,such expressions soundeither affected or clumsy.

1.2.3 Correctness

The rights,obligations,the seller and enterprise image what is at stake,is closely related tobusiness letter writing,which is the basis for the production of business documents,as well asimportant credential with which they conduct.Accuracy is the most important principle of businessEnglish letter writing.Principles not only stipulate accurate meaning of the words,punctuation andcorrect spelling,syntax,structure formed,but also ensure that involved information letters,numbers,facts are accurate.Therefore,business English letter writing should be repeated in audit-related

information,such as title,name and address of the recipient,the delivery time,location,quality,color,size,price of goods,packaging,etc.

1.2.4 Courtesy

It should hardly be necessary to stress the importance of courtesy in your correspondence.Oneof the most important things is promptness.Punctuality will please your customer who dislikeswaiting for days before he gets a reply to his letter.

In order to establish and maintain a friendly trade relation,politeness can be seen as one of basicguidelines for the human behavior.Politeness principle includes not only the use of the words such asplease,thanks you,but also the lines reflected in China's foreign trade policies and diplomaticetiquette,dignity,decency and generosity.Politeness principles include specific aspects:complyingwith international business practices;respecting each other's customs and traditions;measuring thekind of language expression,avoiding using the command tone;with a friendly,positive tone andeuphemistic tone pointing out that the other unsatisfactory places as much as possible;replying in atimely manner.

It should be the aim of every business office to answer all its mail at the same day it has received.

If for any good reason this is not possible,acknowledgement of receipt of all letters should be madeby the following day or so.

Sometimes letters cannot be answered right away.In that case they should be acknowledgedpromptly,with an explanation for the delay.This often happens when information has been asked forand cannot be immediately answered,or when the person to whom the letter is addressed is awayfrom office.

Here is fragment of a suitable letter:This is to acknowledge the samples which you sent to Mr.

Foreman.Unfortunately,he has been called away from the office for a week.He will get in touchwith you the moment he gets back.

Differences are bound to occur in business,but with diplomacy and tact they can be overcomeand settled without ill will be on either side.E.g.,we are compelled to express our surprise anddisappointment at finding the goods contained in your last shipment not up to the agreed statement(berestrained when you express your surprise and disappointment,keep a polite tone).

1.2.5 Consideration

Consideration refers to the interests of the other party.They need to stand in the other's position toconsider,in order to get the other side's goodwill and reach the expected goal.Principle of consideration isa skill used business contacts,in order to facilitate exchanges.

1.2.6 Completeness

A complete business letter should answer to the questions which are raised by each other and tocommunicate important information clearly.Integrity of the letter helps establish good corporateimage,provide time-saving achievement of the desired results in business dealings of both,avoidimportant information asymmetry and unnecessary disputes.

1.3 Preparation Before Writing

As a writer,you should make preparation for your creative works before taking up the pen.

Generally speaking,the following should be borne in mind.

1.3.1 Studying Your Reader's Interest

It means that you should think what your reader thinks.To achieve this,you should "put yourselfin your reader's shoes"and try to imagine how he will feel about what you write.Ask yourselfconstantly,"What are his needs,his wishes,his interests,his problems to be solved,and how can Imeet his requirements?"

1.3.2 Planning What You Will Write and Writing Effectively

In order to plan what you write better and to write effectively,you should draft an outline beforewriting.Every language has its own features.For Chinese students,English is a foreign language.

They had better learn to think and write directly in English and draft an English outline beforewriting.

1.3.3 Deciding to Adopt the Proper Layout,Tone and Style

As we can see,there are many kinds of practical English writing.Different kinds of practicalEnglish writing have different layouts.As a good letter writer,you should know well about how toadopt an appropriate layout.
